The Research Data Alliance and the EOSC Future project are pleased to announce a call to support the hosting of the RDA 20 Plenary Conference in March 2023, to coincide with the 10th Anniversary of RDA, as well as the Swedish EU Presidency. Preference will be given to proposals from Sweden, specifically in the city of Gothenburg.
Important dates
Successful Candidates will be informed by 15 November 2022. The event will take place from 20 to 24 March 2023, including potential side events.
About EOSC Future
The European Open Science Cloud (EOSC) is a major European initiative to foster Open Science and harmonize and integrate key European research, computing and data infrastructures for new digital ways to do science.
One of the over-arching goals of EOSC Future is to foster a common understanding of Open Science, FAIR data and services and added value of EOSC for user communities working within and beyond their disciplinary boundaries. The Strategic and Research Innovation Agenda of EOSC reiterates this by stating EOSC can support cross-disciplinary research through the exchange and interoperability of research data. To develop this concept further, existing standards for research data management, such as currently available from RDA results, should be tested and adapted for use across disciplines in the EOSC context.
About the Research Data Alliance (RDA)
The Research Data Alliance (RDA) is a major international initiative to standardize and respond to research data related challenges globally. RDA has a global membership of over 12,500 experts, and has a 10-year track record on bringing these experts together to provide concrete research data solutions for scientists, repositories and scientific organisations. RDA provides an open forum where research communities, data science experts, and infrastructure builders and managers discuss shared experiences and work on solutions, in particular interoperability solutions.

Further conditions
- This call is not open to members of the EOSC Future consortium. Staff working on the EOSC Future project (i.e., directly funded through a beneficiary (its department or unit executing EOSC Future activities), as a LTP or seconded personnel) are not eligible to apply for grants under the RDA Open Calls and will be asked to tick a Declaration of Honour box upon application.
- All plenary outcomes will be made available on the RDA site for 4 years. Successful applicants may be asked to share their details (photo, bio) for dissemination purposes.
- The contracted work will need to be completed by the end of May 2023.
- One grant max per organisation is allowed.
Financial Contribution
The RDA Open Calls programme will offer 1 grant of maximum €60.000,00 for this call.
Scope of the Event
The Research Data Alliance (RDA) marks its 10-year anniversary with a special 20th RDA Plenary Meeting in March 2023. This milestone conference will also include a satellite event to engage a diverse audience on how to support the global data commons via activities in the European Open Science Cloud (EOSC) ecosystem. The event will introduce how the RDA is helping to facilitate the evolution of EOSC, for example via the Open Calls supported in EOSC Future and via relevant Working Groups to contribute to the global data commons. This grant will go towards supporting both the satellite event and the three-day plenary.
RDA Plenaries are held twice per year in different places around the world and 19 Plenaries have already taken place. They are rich and productive events that bring together a unique community of data scientists, librarians, computer scientists, and domain scientists. Plenary meetings are special working events that help move the community forward in creating tangible deliverables that improve data sharing across disciplines, technologies, and countries. They are critical to improving awareness for international data sharing, and this 20th Plenary will provide the perfect opportunity for Europe to showcase its research commons and for other similar international initiatives to align and share experiences. A large and diverse global audience is expected.
Candidate institutions must have the ability to host at least a 4 full-day hybrid conference with up to 500 international in person attendees and approx. 1,000 on-line participants. This includes appropriate access to conference facilities, and links with accommodation and transportation facilities, as well as the ability to manage a range of supporting services (catering, internet connection, and conference social events, management of registration and online payments, etc.). The candidate institutions and their local organising committee (LOC) must have the means to support the costs of producing the conference through attendee registration and independent fundraising. Candidates who are interested in hosting an RDA plenary should consult and follow the RDA Plenary Guidelines.
Hosts are encouraged to be creative and to put their own local spin on the meeting while still recognizing that the primary activity of the meeting is breakout sessions of the RDA community conducting their work. Hosts should also strive to keep registration fees modest and seek support from private and government sponsors.

Criteria for evaluation
Candidates will be asked to submit an application that will be evaluated according to the following criteria:
1. Excellence: Applicability of the venue (35%)
2. Implementation: A brief summary of previous conference hosting, capacity to organise hybrid (in person and virtual) events, and knowledge of event budget management (35%)
3. Impact: A summary of the proposed conference hosting, how it is relevant to RDA. (30%)
Please note, your proposal should take into account the RDA Guiding principles and demonstrate commitment to them. Proposals should drive the principles of openness and community activities.
Evaluators:
The applications will be independently evaluated by experts with insights to the RDA and RDA plenary meeting organisation who have no conflict of interest (the applicant is not employed by the evaluator’s organisation nor is/are the recommendation(s) a direct result of their work).
